The planning takeaway

Have the manager perform the everyday tasks during training. Watching an installer demonstrate them is only the first step.

Keep ownership with the association

Identify the association’s authorized account owner and the people permitted to administer the system. Establish individual access for the manager and backup manager. Decide how approved installer support access will be granted and reviewed.

Record an account-transfer process for a management-company change. Keep the association’s ownership and recovery records in its controlled records system; a document available to every resident is not the place for passwords or recovery information.

Practice the routine tasks

For access control, have the manager add an authorized user, assign the appropriate group, change a schedule and revoke a credential. For cameras, have an authorized viewer locate a recorded event, review the preceding activity and export the relevant clip.

Use the actual roles and devices the property team will use. Make sure the backup person can perform the responsibilities assigned to them, and record any tasks reserved for the installer or another service provider.

Ask for a concise operating pack

  • A labeled plan of camera views, controlled openings and equipment locations.
  • An equipment list, identifying installed models and the relevant service records.
  • Network and cabling documentation appropriate to the installation.
  • A plain-language description of recording settings, retention goals and access groups.
  • Instructions for the agreed routine tasks and a support contact.

Keep ordinary operating instructions separate from sensitive account and recovery information. Give each document an owner so future changes do not leave the property with several conflicting versions.

Set a repeatable management review

Assign a person to review active users and administrators, confirm the recorder and cameras are operating and check the available recording window. After a significant system change, repeat the relevant acceptance checks and update the operating pack.

Review the physical installation too. A moved planter, new light, changed door or growing branch can affect a view or an entrance. Ask how the property team should report those changes so adjustments can be planned.

Close the loop on a change of manager

Before the outgoing manager leaves, confirm the new responsible person has the intended access, documentation and support details. Update or remove permissions as the association authorizes. Check that association-controlled recovery information remains available to the appropriate owner.

The goal is continuity: the community should not have to rediscover its system every time the people responsible for it change.

Bring this to the board

Your planning checklist

  • Association-controlled ownership and recovery process
  • Primary and backup managers trained
  • Routine tasks performed with real permissions
  • Current operating pack and support details
  • Manager-transition and review responsibilities assigned
